Board Position Descriptions 

All Board of Directors are required to attend one approved WSPTA Training class annually and attend all Tesla STEM PTSA board and membership meetings. 

Elected Board Positions 

PresidentResponsible for the overall management of the PTSA  

Direct Duties:  

  • Oversees all activities of PTSA 
  • Meet monthly with the Principal 
  • Presides over all Membership, Board, and Executive Committee meetings, and plans the meeting agenda in advance of the meeting  
  • Lead the PTSA Board in fostering parent and student engagement geared towards advocating 

for all students and representing the membership 

  • Support all PTSA Leaders in their role and ensure a cohesive Board. 
  • Ensure all PTSA policies (Bylaws, Standing Rules, Policies) and PTSA budget are reviewed annually and updated or approved as needed by the Bylaws. 
  • Attend or ensure representation at all LWPTSA monthly council meetings and update the Board with information from these meetings.  

 

Treasurer Responsible for the financial operations of the PTSA  

Direct Duties: 

  • Maintain management of PTA funds and bank accounts. Pay bills, receive and disburse all funds as voted upon by the general membership. Responsibilities include reconciling monthly bank statements, making deposits, writing checks, and preparing a monthly report of the financial positions for presentation at each meeting 
  • Prepare and present the annual budget to the Board and members 
  • Prepare and organize necessary documents to facilitate the bi-annual financial review conducted by the financial review committee 
  • Prepare and submit all paperwork and fees as required by the IRS, Secretary of State, and AIM insurance 
  • Maintain all records of the treasurer in accordance with the records retention requirements and ensure the timely transfer of all materials to the successor  

 

 

Secretary- Responsible for record keeping and ensuring PTSA is operating in accordance with the PTSA bylaws  

Direct Duties: 

  • Keep records of official meetings of the Tesla STEM PTSA board and membership meeting 
  • Provide copies of previous meetings and act as custodian of all records 
  • Maintain records in accordance with the WSPTSA record retention policies 
  • Support tracking of training requirements for Board members 
  • Ensure timely completion and submission of reports and other paperwork from Board members 

and chairs. 

  • Request a printout of PTSA members from the VP of Membership as of the last day of June to include in annual PTSA records and legal binder 

 

Vice President of FACE- Responsible for planning events to facilitate family and community Engagement  

Direct Duties: 

  • Actively reach out to parents and community members to encourage participation in school and PTSA events to foster a sense of community 
  • Work with the President and Board to set event schedule for the year 
  • Plan and coordinate PTSA-sponsored family events, such as the Fall Social and Volunteer Appreciation event 
  • Manage event expenses within allotted budget 
  • Plan and execute educational programs and invite speakers to provide engaging and relevant information for the school community 
  • Support incoming parents and collaborate with other Board members to create 

Inclusive and Impactful engagement  

  • Oversee the Staff Appreciation committee  

 

Vice President of Programs- Responsible for planning events that support student needs  

Direct Duties: 

  • Actively reach out to students to determine student body needs that the PTSA can support 
  • Organize relevant programming for supporting students such as practice ACT/SAT exams and financial beginnings  
  • Oversee various committees including – Senior Celebration, Reflections and Emergency Preparation and ACT/SAT preparation 
  • Help set up online registration and create flyers and other promotional materials to publicize events 
  • Coordinate with vendors to establish the programs planned for the year 

 

Appointed Board Positions 

 

Communication Chair Responsible for managing communication between PTSA, parents, and staff, including website maintenance and electronic archival of records. 

Direct Duties: 

  • Ensure effective delivery of information to the membership 
  • Oversee and support the volunteers managing the weekly newsletter, website, social media, and any other communications related committees or volunteers  
  • Manage the backend Microsoft 365 collaboration platform, email accounts and website 
  • Maintain record of all logins and passwords for all online PTSA activity across all committees 
  • Create and centralize all forms used across all committees 
  • Provide training and support to volunteers who manage communications tools 

 

Membership Chair- Responsible for encouraging PTSA membership and maintaining the membership database.  

Direct Duties: 

  • Support the PTSA’s goal of cultivating and retaining membership by actively promoting PTSA membership and its benefits  
  • Manage membership records by entering members into the membership database 
  • Coordinate with the Treasurer to accurately account for incoming membership fees 
  • Stay informed on membership updates from Council and State PTSA, implementing membership drives accordingly 
  • Present updated numbers during the Membership report at each Board meeting 

 

Volunteer Coordinator- Responsible for recruiting and connecting parent and community volunteers with various volunteer opportunities.  

Direct Duties: 

  • Provide support during registration days to highlight volunteer opportunities and showcase the benefits of volunteering at school  
  • Create a database of names and contact information of all volunteers 
  • Actively recruit volunteers for PTSA events and other school needs, using Sign Up Genius.  
  • Ensure that volunteers are approved by LWSD.  Communicate with non-approved volunteers to guide them through the volunteer approval process 
  • Keep a record of all PTSA events throughout the year. Coordinate with PTSA board members and Tesla STEM administration to monitor volunteer needs 
  • Connect event chairs with interested volunteers 
  • Help plan the Volunteer Appreciation event at the end of the year 

 

Grants Chair - Responsible for facilitation of grant making process  

Direct Duties: 

  • Work with principal, students and the PTSA board to award grants to fund the classroom equipment, supplies, innovative projects, and creative curricular ideas that align with the PTSA mission and vision 
  • Review and assess grant proposals to confirm their viability and relevance, ensuring they align with PTSA goals before presenting them to the Board 
  • Coordinate with the Treasurers to understand the PTSA budget and make informed grant recommendations 
  • Present grant recommendations to the Board for final approval  
  • Manage follow up with grant recipients, including collecting receipts and coordinating with the Treasurer for grant payments
